A number of sophisticated wine inventory programs are available that you can use to monitor your cellar. However, if you're comfortable with computer-based spreadsheets, you can create your own wine inventory system. The key to any system is identifying the kind of information that you want to track, locating the wine in your cellar, and keeping the inventory updated. A mix of handwritten notes and a computer file can work well.
Instructions
1. Open a blank spreadsheet on your PC and enter the column headers. Keep things simple so that the data entry part of maintaining your wine collection doesn't become onerous. The key headers, in this order, across the top are: "Storage Location Row;" "Storage Location Bin;" "Producer;" "Label;" "Vintage," the year; "Variety," the type of grape; "Class," red or white; "Quantity on Hand."
2. Enter the stock one by one using rows in the spreadsheet. Then print the spreadsheet and keep it next to your corkscrew. As you open wine, reduce the "Quantity on Hand." by scratching through with a pen.
3. Open the spreadsheet any time you purchase wine and update it from your notes that you made in the previous step. Discard the notes. When the new wine is delivered, add it to the spreadsheet and print a new spreadsheet and place it next to your corkscrew.
4. Add column headers as you become proficient in tracking your wine. Possible headers include: "Region;" "Purchased From;" "Cost per Bottle;" and "Total Value of the Wine." Create that column by entering a formula that takes the "Cost per Bottle" and multiplies it by the "Quantity on Hand." For example, "=A1*B1."
